Submit jobs via hotfolders

What are hotfolders

Hotfolders enable you to submit print jobs by simply drag & drop ready-to-print PDF files onto a folder shortcut on your desktop. The job properties are determined by the automated workflow connected to that hotfolder.

When there is a JDF ticket in the hotfolder, the print properties of the JDF ticket and the connected automated workflow are used. If a property is defined in the JDF ticket and the automated workflow, then the property of the automated workflow is applied. Unless the automated workflow setting [Overrule job ticket] is disabled.

Drag & drop print files

It depends on the [Overrule job ticket] setting of the automated workflow whether the settings of the automated workflow or the job ticket are used.

The system administrator creates the hotfolders in the Settings Editor and defines the user authentication for the hotfolders.

Create a shortcut to a hotfolder on a Windows workstation

  1. Start the standard Windows wizard to map a network drive.

  2. In the dialogue, use the link to connect to the PRISMAsync hotfolder to share documents or files.

  3. Enter the path to the hotfolder that is shown in the Settings Editor at the [Workflow]  → [Hotfolders] tab .

    Use the following path.

    • WebDAV: http(s)://<hostname>/dav/<hotfolder name> or http(s)://<IPaddress>/dav/<hotfolder name>.

    • SMB: \\<hostname>\<hotfolder name> or \\<IPaddress>\<hotfolder name>.

  4. Enter your username and password.

  5. Enter a name for the network location.

Create a shortcut to a hotfolder on a Mac workstation

NOTE

Use a third party WebDAV client, for example CyberDuck. Use always the latest version of CyberDuck.

  1. Open CyberDuck.

  2. Select + and choose WebDAV (HTTP).

  3. Click [More Options].

  4. Enter a Nickname if desired.

  5. Enter de IP address of the PRISMAsync Print Server in the Server name field.

  6. Enter the username and password of the PRISMsync Print Server.

  7. Enter the path to the hotfolder.

    Use the following format to define the path: /dav/hotfolder name

  8. Click [Close].

Use a JDF ticket

  1. Go the hotfolder shortcut.

  2. Drag & drop the Default_ticket.jdf file on the hotfolder shortcut.

Drag & drop PDF files on a hotfolder

  1. Double-click the hotfolder shortcut to display the print properties that are defined for the hotfolder.

  2. Select the PDF files and drag & drop these on the hotfolder shortcut.

    After printing, the PDF files are removed from the hotfolder.
