[Manage Hot Folders]

Introduction

A Hot Folder is a directory that is permanently scanned by PRISMAproduce Tech. When the Hot Folder is active, every new document that is found in the directory is automatically added to a job of the corresponding printer. The template defined for the Hot Folder will be applied.

NOTE
  • Each connected printer can have up to five active Hot Folders at the same time.

  • Recommendation: have a maximum of 10 Hot Folders active per PRISMAproduce Tech installation.

  • The user can select the Hot Folder path (a network location or local location) and the template to be applied.

  • A job found in a Hot Folder whose setting [Auto print] is enabled, will directly be submitted.

  • If there is a warning on the job, the job appears in the user interface.

  • You can also set the check frequency of the Hot Folders, see Advanced settings

  • To delete a Hot Folder, select it and click on [Delete].

  • Click on [Empty] to delete all files from all Hot Folders of the selected printer, while PRISMAproduce Tech is running.

  • When a Hot Folder is in warning, the background color changes to orange.

Procedure

  1. Click on the user name in the top menu bar.
  2. Click on [Printers].

    A new window opens

  3. Click on the required printer name.
  4. Click on [Manage Hot Folders]
  5. Optionally, click on [Add] to add a new Hot Folder for the selected printer.
  6. Or select a Hot Folder and click on [Edit] to edit the settings.
  7. Set the following settings per Hot Folder:

    Enter a name for the Hot Folder.

    NOTE

    Each Hot Folder must have a unique name.

    [Path]

    Type or copy and paste the location for the Hot Folder.

    NOTE

    Each Hot Folder must have a unique path.

    The default path shows '/', but '\' can also be used.

    PRISMAproduce Tech will permanently scan the content of this folder. The application will add each new file found in the Hot Folder to a job of the corresponding printer, and will apply the template defined for the Hot Folder.

    [Template]

    Select the template that will be applied to all the new files in the Hot Folder.

    [Delete printed files]

    Select this option to delete files from the Hot Folder after they have been successfully printed.

    NOTE

    This option is available when [Auto print] is selected.

  8. To continue, click [Add] when adding a Hot Folder, or click [Update] when editing a Hot Folder.
  9. To activate the Hot Folder:

    Check the box in front of the Hot Folder to activate the Hot Folder.

    A Hot Folder must be active to change the other settings.

  10. Select [Auto print] to automatically print each document sent to the active Hot Folders.
  11. Click [Update] to save your settings.
    NOTE

    When you make changes to the preferences per printer, always click on [Update] in the [Printers] screen, for each printer you are making changes to.

  12. Click on [Empty] to delete all files from all Hot Folders for the selected printer.
