To guarantee that backups remain available, backups can be exported to an external location.
From there the latest backup can be imported for the following reasons.
Repair the printer when the configuration is lost.
Configure the printer configuration after a new installation.
Configure the printer according to the configuration of a printer with the same type and version.
Exported backups are encrypted and packed into a ZIP file. Backups cannot be unpacked outside the printer. Confidential data in the backup have an additional encryption - by using a passphrase - and an additional packing process.
This passphrase remains at the local printer.
The export of confidential data must be enabled. To enable the export of a backup with confidential data, a passphrase must be configured. The passphrase is used to encrypt the confidential data before export.
Be aware that when confidential data is not available in an exported backup, the confidential data must be entered manually in case of a printer failure.
When you enable the export of confidential data, you can indicate if Service operators are authorised to export confidential data.

When the [Export of confidential data] option is set to [Disabled] or [Only enabled for system administrators] systems administrators must archive the backup themselves. In case a system failure occurs and no backup is archived, system administrators must re-enter the lost user and confidential configuration manually.
When Service is enabled to export confidential data, Service operators can create and export backups with confidential data during Service visits.
When Service is enabled to export confidential data, it also possible to export and archive backups with confidential data by using Remote Service tools.
Confidential data in backups can never be decrypted or read by Service.
Users that have the access right: [Full access to administration tasks] also have the access right: [Access to installation tasks].
When an imported backup contains confidential data, the printer uses its configured passphrase to verify the confidential data encryption. The printer checks if the confidential data in the imported backup is encrypted by the same passphrase.
The [Confidential data] field in the backup list shows the status of the confidential data.
[Not included] : backup created without confidential data.
[Included] : backup created with confidential data. The confidential data can be restored because the passphrase verification succeeded.
[Included, but without correct passphrase] : backup created with confidential data. The confidential data cannot be restored because the passphrase verification did not succeed.
As soon as the configured passphrase matches the passphrase of the confidential data , the column value becomes: [Included].
[Included, but in legacy format] : backup created with confidential data. Although the printer on which the backup had been created did not use phassphrase encryption, the confidential data can be restored. However, this backup cannot be exported again.
Please note that printers with a previous software version may not support secure export of confidential data by means of a phassphrase.
When the configured printer passphrase matches the passphrase of the confidential data, the confidential data can be restored.
On a printer the export of confidential data is enabled.
A backup with encrypted confidential data is exported. The confidential data is encrypted by the passphrase.
The backup is imported. The passphrase on the printer has not been changed.
The confidential data can be restored.
When the configured printer passphrase does not match the passphrase of the confidential data, the confidential data cannot be restored.
On a printer the export of confidential data is enabled.
A backup with encrypted confidential data is exported. The confidential data is encrypted by the passphrase.
The backup is imported. The passphrase on the printer has been changed.
The confidential data cannot be restored. When you reset the passphrase to the passphrase used to encrypt the backup, the confidential data can be restored.
When a backup shows: [Included, but without correct passphrase] in the [Confidential data] field, the configured passphrase does not match the passphrase used to encrypt the confidential data.
The confidential data cannot be restored as long as the passphrases do not match.
You are advised to configure the same passphrase on all printers to prevent that the backup passphrase and the printer passphrase do not match.
When you want to restore the confidential data, you must know the passphrase that has been used to encrypt the confidential data.
Click [Configure confidential data] and use the [Passphrase for confidential data] and [Confirm passphrase] fields to enter the passphrase that has been used to encrypt the confidential data.
Now the confidential data status is [Included], the data can be restored.
Restore the previous passphrase, in case the previous passphrase has been used for later exports.
